Tourism guide photography competition announced

Ross-on-Wye Town Council has announced that it is holding a photographic competition during December and is asking photographers to submit an iconic image of Ross-on-Wye for the cover of its mini tourism guide which is being reprinted in the new year. The winning entry will be used on the cover of the guide which will be distributed to over 400 outlets across Herefordshire as well as counties in the Midlands, South West and Wales.

The ‘Your Guide to Ross-on-Wye‘ mini concertina tourism guide, was launched in the summer of 2023 in conjunction with the Ross-on-Wye Tourism Association, to attract footfall to the town from outlying regions within a 50 mile radius of Ross-on-Wye. The guide includes information on how to get to Ross-on-Wye as well as things to see and do and places to shop and eat out.

An eye watering 40,000 mini guides, the size of a business card, were originally printed by Bright Sky Media and were distributed to over 400 locations including motorway services, hotels, leisure facilities and other accommodation & leisure providers across Herefordshire, Worcestershire, Gloucestershire, Monmouthshire, Warwickshire, Wiltshire, Oxfordshire plus central locations in Cardiff, Newport, Bristol, Bath, Swindon and Birmingham. The guide has proved so popular with tourists, that it is now due for a reprint in January 2024, six months ahead of schedule, with a new look cover, to feature the competition winner’s photograph.
The competition officially opened on Monday 11 December and closes at midnight on Sunday 31 December 2023 and photographers are being invited to submit their images by email to tourism@rosstc-herefordshire.gov.uk (one entry per person). The five best entries will be open to a public vote on the town council’s social media channels between 8 and 15 January and a winner announced on 19 January 2024.

Terms & Conditions
  1. The promoter of the competition is Ross-on-Wye Town Council (‘RTC’) in conjunction with the Ross-on-Wye Tourism Association (‘RTA’).
  2. The competition is free to enter and no purchase is necessary to take part. Entry is limited to one entry per person and photos must be emailed to tourism@rosstc-herefordshire.gov.uk in a standard .jpeg or .png format .
  3. The winning photograph will be used on the cover of the updated version of the mini concertina tourism guide – ‘Your Guide to Ross-on-Wye’ – which is being reprinted in January 2024, with the full permission of the entrant.
  4. Entry is open to UK residents aged 13 or over. Entrants aged under 18 shall have obtained the consent of a parent or guardian (and will provide us with the contact details we need should we wish to verify this). Employees of Ross-on-Wye Town Council and members of Ross-on-Wye Tourism Association in any capacity are not eligible to participate in this competition.
  5. Competition entries received after the closing date will not be valid.
  6. RTC accepts no responsibility for entries not successfully completed due to a technical fault of any kind, late, lost or delayed entries or network, computer hardware or software failures of any kind that may delay or restrict entry into the competition. Proof of transmission will not be accepted as proof of entry. RTC reserves the right to reject entries that are unlawful, racist, inflammatory, defamatory or which are considered to be otherwise harmful.
  7. RTC staff will shortlist six entries which will be put to a public vote on social media between Thursday 4  and Monday 15 January 2024. The photo receiving the most votes by midnight on 15 January 2024 will be announced the competition winner.
  8. The winner will be announced on the RTC and RTA’s social media channels during week commencing 22 January 2024.
  9. RTC will notify the winner after 15 January 2024 by email using the email address used to send in the competition entry. If a winner does not respond to RTC within 3 working days of being notified, RTC will be entitled to select the photograph with the next highest number of votes in accordance with the process described above.
  10. The personal information (name, address, email address) supplied by entrants will be used in accordance with RTC’s General Data Protection Regulation Policy which can be found on the town council’s website at https://www.rosstc-herefordshire.gov.uk/strategic-documents/. All entrants may have their details removed from RTC’s records by contacting the town council directly. If details are removed prior to the conclusion of the competition, the entrant will no longer participate in the competition. RTC reserves the right to publish the name of the winners. By entering the competition entrants are agreeing to take part in further promotional/publicity activities as agreed by RTC and the RTA.
  11. Entrants warrant that they have full ownership of the submitted photograph and/or that they have the prior consent the photographer to submit it as their entry. Entrants agree that RTC has the right to publish and communicate to the public the photo in any media and entrants agree that RTC has the right to use names and other personal information submitted in conjunction with the photo.
  12. By entering into the competition all entrants assign to RTC’s intellectual property rights (including present and future copyright) in their entry and publicity materials in all media (including, without limitation, the internet), whether in existence now or created in the future. In addition entrants undertake to RTC that their entry is not in breach of any third party intellectual property rights and will not contain anything which is defamatory, indecent, harassing or threatening and that they will indemnify RTC for any loss, damage or liability arising should this turn out not to be true.
  13. RTC reserves the right to hold, void, cancel, suspend or amend the competition at its absolute discretion.
  14. The invalidity or unenforceability of any provision of these Terms and Conditions shall not affect the validity or enforceability of any other provision. In the event that any provision is determined to be invalid or otherwise unenforceable or illegal, these Terms and Conditions shall otherwise remain in effect and shall be construed in accordance with their terms as if the invalid or illegal provision were not contained herein.
  15. The Terms and Conditions shall be interpreted in accordance with the Law of England and Wales.
